Register to attend your graduation ceremony

You will need to register your intent to attend by creating an account with William Northam (the robing company with which we partner for graduation).

William Northam is the only authorised partner of the University for these services. University of Chichester will receive a share of robing sales (a commission payment) from William Northam. This is standard across the university sector.

Please be reassured that the entire commission paid to the University is entirely reinvested into the running and organisation of the graduation events themselves.

This is to ensure that the ceremony is enjoyable and successful for all of our graduates and guests.

We will include a link to the website in your invitation and the process will only take a few minutes, please ensure you answer all the questions.

Please do ensure you book before the deadline. If you do miss the date, then it may not be possible to graduate at this ceremony or any another future ceremony. In case of extenuating circumstances, please contact graduation@chi.ac.uk

In absentia

It is not compulsory to attend your ceremony, if you choose not to attend your ceremony this is called graduating ‘in absentia’.

Please note that your name will not be read out during the ceremony, and you will not be eligible to attend other or future ceremonies.

You can still choose to have your name in the Graduation programme, on the Graduation hoodie and become part of the alumni community.

Contact graduation@chi.ac.uk with your full name, student number and consent.

Deferrals

You will not be permitted to defer your graduation due to the limited capacity at Chichester Cathedral.

We will consider requests for exceptional circumstances on a case by case basis for up to one academic year,

Exceptional circumstances include (but are not limited to):

  • Bereavement
  • Deployment
  • Jury Service

Requests are to be made to graduation@chi.ac.uk along with evidence to support your deferral request before the end of the academic year that you complete your course.

Missing the deadline

Should you miss the booking deadline, it may not be possible to attend your ceremony. In this instance, please contact graduation@chi.ac.uk for more information.

Accessibility and additional requirements

To ensure you have the best graduation experience, if you and/or your guests require any additional assistance, we must be notified when you register your intent to attend your ceremony. Please complete the question asking this, or email graduation@chi.ac.uk (please include your student number) and we will be in contact to discuss arrangements.

Chichester Cathedral

Level access into the Cathedral is available through the south-west door, within the Cathedral and Cathedral precincts there are ramps for easy level access.

Guide, Therapy and Assistance dogs are welcome in the Cathedral for events.

Edes House

Accessible access is to the rear of the house, please notify a member of the graduation team who will assist you with this.

Lift access to the first floor for robing is available, and a photography studio will be available on the ground floor.

Assistance dogs are permitted in the House.

How to get your graduation tickets

Seating

Graduands must sit in course order separate from their guests, this is so that we are able to arrange for students to walk across the stage smoothly. You must remain seated until it is time to walk across the stage. Ushers will advise you when it is your turn.

Guests may choose their seats in the guest seating area. Please do not leave spaces to ensure everyone can take a seat.

If you and/or your guest require specific or accessible seats or help to access the venue, please complete the specific requirements sections when booking your ticket, or email graduation@chi.ac.uk, please include your student number in all emails.

We ask that guests remain seated unless they need to attend to an upset or restless child. Please note, standing to take photographs is not considerate as this will block the view for other guests.

  • Academic Staff will process
  • The Platform Party will process to the stage
  • The Vice-Chancellor, Deputy Vice-Chancellor or representative will address the audience
  • Graduands will hand their card (given to them at registration) showing the course, name and prize if applicable to the Orator to be read out as they cross the stage where you will shake hands/doff your cap to the Vice-Chancellor or their representative.
  • In some ceremonies, an award may be given to an honorary graduate of the University.

Each ceremony will last for approximately one hour.

Important

Please do not arrange travel or accommodation until you have purchased tickets.

As students are invited to graduation when they are provisionally eligible, should it be established that you are not eligible, we will contact you to advise this. If you have already purchased tickets, and hired robes, you will need to cancel the order with William Northam and payment will be refunded in full. What to wear and where to get it

Robing

To be allowed to attend your ceremony you must hire the appropriate academic dress from William Northam consisting of gown, hood and mortarboard.

William Northam is the only organisation authorised by University of Chichester to provide robes for our graduation ceremonies. University of Chichester will receive a share of robing hire sales (a commission payment) from William Northam. This is standard across the university sector.

Please be reassured that the entire commission paid to the University is entirely reinvested into the running and organisation of the graduation events themselves.

The price to hire the robes depends on your award and can be hired after you have created your account and registered your intent to attend your ceremony.

Don’t forget to bring safety pins to pin your hood to your gown to stop it slipping, and hair grips for keeping your mortarboard in place.

What should I wear?

Under your academic gown, we recommend smart clothing or national dress. Jeans and trainers will not be permitted.

When deciding on what to wear please consider the comfort and practicality of your outfit. How well can you walk in those shoes? Will your mortarboard fit with that hairstyle?

Before the ceremony

You will need to allow yourself time to register, collect your academic dress and have photographs.

    • Registration - will be open 2 hours before your ceremony and will close 30 minutes before your ceremony. Registration is located in Edes House
    • Robing - will be open 2 hours before your ceremony and will close 30 minutes before your ceremony. Robing will take place in Edes House
    • Photography - will open 2 hours before your ceremony and will close 30 minutes before your ceremony. Photography will take place in Edes House
    • Taking your seats – You and your guests will start to be seated 30 minutes before the start of the ceremony. Seats for students will be allocated by the graduation team on arrival. Seats for guests will be first come, first served, so please see seating advice in next section.

Due to limited space, we ask that only students register their attendance.

Please note that you may be outdoors for periods of time, so please prepare for the weather.

William Northam offer professional photography packages which can be purchased should you wish, once you have created your account and registered, whether you are intending or not to attend your graduation ceremony.

The photography studios will be in Edes House along with registration and robing.

Certificates

A certificate will be issued as proof of your award. It will show your full name, course title, level of award, classification and date of the award. Please take care of it as charges will apply for duplicate certificates issued.

The Assessment Team will be contacting all final year students to ask them to confirm the delivery address for their certificate.

Please note - Certificates are NOT handed out at graduation.

After the ceremony

All graduates will be asked to stand and the platform party will process out followed by graduates. Please wait for the Ushers to advise you when to leave.

Celebrate!

Head to the Duke & Rye to collect your complimentary (graduands only) glass of prosecco or soft drink. The bar will also be open to purchase other drinks.

Enjoy the music, take plenty of photographs, meet with your friends.

Don’t forget that your robes must be returned by 8pm on the day of your graduation ceremony.

Important information you need to know

Eligibility

All students provisionally eligible to attend graduation will receive an invitation. However, this is subject to change at any point.

Eligibility criteria includes:

    • Not having any outstanding tuition fee debts.
    • You having attained the minimum credit threshold for your course.
    • The award has been made by the Board of Examiners acting under delegated authority from Academic Board with a pass list signed by external examiners.
    • Having booked your ticket.
    • Having hired the correct academic address.*

*William Northam is our only authorised partner for robing. University of Chichester will receive a share of sales (a commission payment) from William Northam which is reinvested into your graduation ceremonies in its entirety.

Photography, filming and livestreaming

The University of Chichester Graduation ceremonies will be professionally filmed and live streamed. These can be viewed live by accessing the link on our website which will be available on the day.

The University photographer, videographer and digital content producer will be present at the event and any photographs or footage taken may appear in University printed publications, our website, and social media for publicity and marketing.

By attending a graduation ceremony, students, guests and staff understand that you may be photographed or recorded and your image used as described above. If you do not wish to be photographed or filmed, please speak to a member of the Graduation team on graduation@chi.ac.uk or to the photographer or videographer on the day.

Your guests are welcome to take photographs and videos from their seats during the ceremony, but they must ensure they do not obstruct the views of other guests, affect the enjoyment of others, or interrupt the ceremony in any way.

Right to refuse entry

Graduands and guests will be allowed entry to the Cathedral 30 minutes before the start of the ceremony, and must be seated by 10 minutes before. Those who arrive after this may be refused entry to the ceremony and may not be included in any other ceremony.

Guests will not be allowed entry without a valid ticket.

We reserve the right to ask any person to leave who is being disruptive during the ceremony.

The University of Chichester also reserves the right to refuse entry to any person whose behaviour is deemed unacceptable or they are deemed to be intoxicated through alcohol and/or drugs.

Security

If you see anything suspicious or have cause for concern, please notify a member of the Graduation Team

In the event of an emergency, please follow instructions from the Graduation Team or Emergency Services.

Health and safety

All visitors to Edes House and Chichester Cathedral must behave in a responsible manner and be aware of their surroundings.

In the event of an emergency, please following instructions from the Graduation Team or Emergency Services.

First Aiders will be present for the ceremonies, if you require assistance please advise one of the graduation team who will arrange this.

Force majeure

In the event that the University of Chichester Graduation ceremonies have to be postponed, cancelled or delayed due to circumstances beyond our control; including (but not limited to) fire; lightning; explosion; aircraft impact; act of God, natural disasters; acts or threat of act of terrorism; epidemics; pandemics; death of monarch, the University will not be liable for losses direct or indirect to graduands or guests.

In this unlikely event, we will attempt to contact all graduands as soon as possible via email and/or text, as well as updating the website and social media pages.

Refunds

We can only give a refund due to academic reasons or in exceptional circumstances.

Refund requests will be considered individually, and should be made to graduation@chi.ac.uk no later than 2 weeks from the last graduation ceremony.

If approved, you may obtain a refund the following ways:

  • Before the final ticket closing deadline, you may cancel your order directly with William Northam
  • Up until 2 weeks from the last graduation ceremony, we will email a form for you to complete, so we can arrange a bank transfer. Please note that we can only arrange refunds to a UK bank account in your name.
Academic reasons

As students are invited to graduation when they are provisionally eligible, should it be established that they are not eligible, we will contact them to advise this, and they will be entitled to a full refund of tickets and robe hire.

  • The Platform Party will process to the stage
  • The Vice-Chancellor, Deputy Vice-Chancellor or representative will address the audience
  • Graduands will hand their card (given to them at registration) showing the course, name and prize if applicable to the Orator to be read out as they cross the stage where you will shake hands/doff your cap to the Vice-Chancellor or their representative.
  • In some ceremonies, an award may be given to an honorary graduate of the University.

Each ceremony will last for approximately one hour.

Certificates

A certificate will be issued as proof of your award. It will show your full name, course title, level of award, classification and date of the award. Please take care of it as charges will apply for duplicate certificates issued.

The Assessment Team will be contacting all final year students to ask them to confirm the delivery address for their certificate.

Please note - Certificates are NOT handed out at graduation.

After the ceremony

All graduates will be asked to stand and the platform party will process out followed by graduates. Please wait for the Ushers to advise you when to leave.

Celebrate!

Head to the Duke & Rye to collect your complimentary (graduands only) glass of prosecco or soft drink. The bar will also be open to purchase other drinks.

Enjoy the music, take plenty of photographs, meet with your friends.

Don’t forget that your robes must be returned by 8pm on the day of your graduation ceremony.

Important information you need to know

Eligibility

All students provisionally eligible to attend graduation will receive an invitation. However, this is subject to change at any point.

Eligibility criteria includes:

    • Not having any outstanding tuition fee debts.
    • You having attained the minimum credit threshold for your course.
    • The award has been made by the Board of Examiners acting under delegated authority from Academic Board with a pass list signed by external examiners.
    • Having booked your ticket.
    • Having hired the correct academic address.*

*William Northam is our only authorised partner for robing. University of Chichester will receive a share of sales (a commission payment) from William Northam which is reinvested into your graduation ceremonies in its entirety.

Photography, filming and livestreaming

The University of Chichester Graduation ceremonies will be professionally filmed and live streamed. These can be viewed live by accessing the link on our website which will be available on the day.

The University photographer, videographer and digital content producer will be present at the event and any photographs or footage taken may appear in University printed publications, our website, and social media for publicity and marketing.

By attending a graduation ceremony, students, guests and staff understand that you may be photographed or recorded and your image used as described above. If you do not wish to be photographed or filmed, please speak to a member of the Graduation team on graduation@chi.ac.uk or to the photographer or videographer on the day.

Your guests are welcome to take photographs and videos from their seats during the ceremony, but they must ensure they do not obstruct the views of other guests, affect the enjoyment of others, or interrupt the ceremony in any way.

Right to refuse entry

Graduands and guests will be allowed entry to the Cathedral 30 minutes before the start of the ceremony, and must be seated by 10 minutes before. Those who arrive after this may be refused entry to the ceremony and may not be included in any other ceremony.

Guests will not be allowed entry without a valid ticket.

We reserve the right to ask any person to leave who is being disruptive during the ceremony.

The University of Chichester also reserves the right to refuse entry to any person whose behaviour is deemed unacceptable or they are deemed to be intoxicated through alcohol and/or drugs.

Security

If you see anything suspicious or have cause for concern, please notify a member of the Graduation Team

In the event of an emergency, please follow instructions from the Graduation Team or Emergency Services.

Health and safety

All visitors to Edes House and Chichester Cathedral must behave in a responsible manner and be aware of their surroundings.

In the event of an emergency, please following instructions from the Graduation Team or Emergency Services.

First Aiders will be present for the ceremonies, if you require assistance please advise one of the graduation team who will arrange this.

Ceremony changes

The University reserves the right to make changes to the schedule if deemed necessary. In this instance, we will contact graduands by email and/or text.

Tickets will be transferred to the new ceremony details.

Deferring your graduation

You will not be permitted to defer your graduation due to the limited capacity at Chichester Cathedral.

We will consider requests for exceptional circumstances on a case by case basis for up to one academic year,

Exceptional circumstances include (but are not limited to);

  • Bereavement
  • Deployment
  • Jury Service

Requests are to be made to graduation@chi.ac.uk along with evidence to support your deferral request before the end of the academic year that you complete your course.

Force majeure

In the event that the University of Chichester Graduation ceremonies have to be postponed, cancelled or delayed due to circumstances beyond our control; including (but not limited to) fire; lightning; explosion; aircraft impact; act of God, natural disasters; acts or threat of act of terrorism; epidemics; pandemics; death of monarch, the University will not be liable for losses direct or indirect to graduands or guests.

In this unlikely event, we will attempt to contact all graduands as soon as possible via email and/or text, as well as updating the website and social media pages.

Refunds

We can only give a refund due to academic reasons or in exceptional circumstances.

Refund requests will be considered individually, and should be made to graduation@chi.ac.uk no later than 2 weeks from the last graduation ceremony.

If approved, you may obtain a refund the following ways:

  • Before the final ticket closing deadline, you may cancel your order directly with William Northam
  • Up until 2 weeks from the last graduation ceremony, we will email a form for you to complete, so we can arrange a bank transfer. Please note that we can only arrange refunds to a UK bank account in your name.
Academic reasons

As students are invited to graduation when they are provisionally eligible, should it be established that they are not eligible, we will contact them to advise this, and they will be entitled to a full refund of tickets and robe hire.

Exceptional Circumstances

Exceptional circumstances that could be approved for a refund include (but is not limited to);

  • Bereavement
  • Deployment
  • Jury Service
